NYU Summer Housing offers 3-13 week reservations to programs and organizations with at least 10 group participants, all of whom meet our eligibility criteria. Reservations begin on Sundays and end on Saturdays within our Summer dates.
How it Works
Creating a group reservation holds a given number of bed spaces in close proximity within a residence hall for your organization. Group participants then claim one of the reserved bed spaces by registering for housing as part of the group, using instructions NYU provides to the organization.
If the registration deadline has not passed and there are remaining bed spaces within a group reservation, regardless of whether the hall is full for registrants outside of a group, your group participants can claim one of the reserved spaces.

Room assignments and arrival instructions will be emailed directly to group participants approximately two weeks prior to their arrival on campus.
Weekly Rates & Payment Options
Bookings in a group reservation are charged at a weekly rate. NYU can apply housing charges to each participant's NYU account or the sponsoring organization can opt to be billed directly. For group billing, a 50% deposit of anticipated housing charges may be required.

Adjusting Group Size
Coordinators can reduce the number of bed spaces reserved for their group without penalty through March 31st, 2025. If less than 90% of reserved bed spaces are ultimately claimed by group participants, the organization will incur cancellation fees of $500 per unclaimed bed space.
If group participants are responsible for their own summer housing charges, once an individual registers for housing as part of the group, they take responsibility for any cancellation penalty for their bed space. Thus, if a group participant who is responsible for their own charges registers for housing and later cancels, the group is not responsible for a cancellation fee for that bed space.
Requests to increase the number of bed spaces in a group reservation may be approved on a case-by-case basis according to availability at the time of request. Please note that additional bed spaces may not be avialable in close proximity to the rest of the group.

NOVEMBER/DECEMBER
An organization creates a group housing request and receives an automatic summary of request form responses. NYU and the organization correspond about any questions or concerns regarding the group reservation.

JANUARY
NYU creates an official email thread for the group, delivering the group housing license and a confirmation document detailing the reservation (hall placement, rates, deadlines, selected payment method, etc.). The organization requests any changes and NYU provides written confirmation of any adjustments to the reservation details.

FEBRUARY
The organization signs and returns both the confirmation document and the group housing license. NYU prepares the reservation in its booking system so that group participants can register.

MARCH
NYU notifies the organization that the group reservation is ready to begin accepting registrants, providing detailed registration instructions for people to securely register for the group (includes group number and passcode). The organization distributes the registration instructions to their group participants. Group participants follow instructions to register for an NYU ID number (if they do not already have one) and register for housing as part of the group. As people begin to join the group, the organization’s primary group contact receives a weekly roster of registrant information via email. The organization monitors the number of participants who are registering for housing. NYU reminds groups that the last day to adjust the estimated count of participants in housing groups is March 31st (fee policy listed above).

APRIL OR JUNE
Registration automatically closes (for groups arriving on or before July 1st, on April 15th; for groups arriving after July 1st, on June 1st)

NEXT FEW WEEKS
NYU makes room assignments for all of the group participants. Group participants who are responsible for their own summer charges see housing charges assessed to their NYU Bursar accounts. Room numbers, which should be considered tentative until group participants receive email notification, appear on the weekly rosters.

THE FOLLOWING WEEK
NYU sends pre-arrival notices, which include room assignments and arrival instructions, to all group participants.

SUMMER
The organization’s group participants arrive on campus and enjoy their stay at NYU.

END OF RESERVATION
NYU sends group participants departure instructions via email. Groups depart NYU.

POST DEPARTURE
NYU sends invoices to the groups covering their group participants’ summer charges. The organizations which received summer housing invoices remit payment.

POST SUMMER
NYU sends a closing message and organizations share any feedback.
